Role Purpose
JLL Integrated Facilities Management (IFM) is currently searching for a customer-focused Facilities Manager who will be embedded on our high-profile client account.
The Facilities Manager's main responsibility is to ensure the daily site Facility Management of the allocated office, manage the local budget within the defined financial framework, and achieve the aligned saving targets for the account.
The role is responsible for IFM site Management on the Pioltello site allocated to the portfolio. The IFM drives the business by managing all functional and operational responsibility and contributing to the strategic growth of the business. This role is key to the portfolio strategy, working in close partnership with the Sub-regional Lead and EMEA Ops Manager.
The FM is integral to supporting, driving, and delivering a high level of client satisfaction, establishing and managing the service delivery, delivering key initiatives, and ensuring consistency in processes, systems, and reporting. The role also ensures efficient and consistent operation of all facility management activities to meet contractual obligations with respect to the property portfolio of the Client.

Key Responsibilities:
Develop, gain, and implement the Best Practice/Building Operation Plan for assigned site. Work with the Financial Manager to prepare the final budget documentation/plans and administer the works to ensure budget compliance. Inspect facilities and equipment to determine extent of service and equipment required. Recommend, justify, develop, and coordinate with the Client team projects that enhance the value of the office buildings.
Arrange for maintenance, upkeep, or reconditioning of facilities as specified in the operating procedures, the management plan and/or management services agreement, and of leased premises as dictated by lessee's agreement. In conjunction with the Procurement Specialist, competitively bid and prepare all service contracts to ensure high quality and cost-effective services. Assemble and analyze contract bids, submit recommendations.
Maintain role as primary contact for service requests generated by the client's staff. Proactively meet with Client's local Management on scheduled basis. Communicate regularly with the client's Management and staff, providing necessary support and information on the status of all areas under management.
Approve purchases of supplies and equipment for use at managed office buildings. Contract for services as described within the operating budget, management plan, and/or management services agreement. Ensure that all defined services are completed in accordance with all operating procedures, statutory requirements, and within the Health and Safety guidelines.
Proactively involved in ensuring that services are reviewed, and refinements made to enhance FM services across the assigned portfolio. Develop a close working relationship with all of the vendors under control to ensure that they fully understand the Client culture and are made to feel part of the team delivering a high-quality service.
Resolve problems associated with all building services including janitorial, food service, coffee services, vending, badging, conference rooms, desks, as well as interior furnishings, fixtures, and equipment. Conduct site walkthroughs to perform visual inspections of common areas and client spaces to ensure lights, ceiling tiles, plumbing, etc., are all in working order and submit vendors' work orders for quotes and schedules. Submit/escalate observations as appropriate.
Provide direction/information to vendors, facilities staff, and service providers as required, ensuring excellent coordination/execution of work within the client environment with minimal disruption, as needed. Ensure Preventative Maintenance Compliance.
Work Order Customer Satisfaction: Monitor overall Client Satisfaction on service requests as measured by satisfaction survey results. Contact all customers who have submitted unfavorable results directly for resolution or lessons learned discussion.

Sounds Like You? To Apply You Need to Have:
Track record in facilities management, at least on two different client sites. Technical expertise in hard services including HVAC, electrical, plumbing, and building automation systems. Experience in technical training delivery and competency development for engineering and maintenance teams.
Client and Relationship Management Skills: Strong management skills to interact on all levels with the client organization including internal JLL team and partner companies. Strong interpersonal skills with training experience to guide multifunctional teams. Proven ability to translate complex technical concepts into practical training programs for various skill levels.
Strong Budget Management Skills. Very good English & local language skills. Excellent PC skills, proficient in Microsoft Word and Excel. Relevant technical certifications or trade qualifications in building services engineering preferred. Excellent organizational skills required.

JLL Integrated Facilities Management (IFM) è attualmente alla ricerca di un/una Facilities Manager orientato/a al cliente che sarà integrato/a nel nostro account cliente ad alto profilo.
La responsabilità principale del/della Facilities Manager è garantire la gestione quotidiana della Facility Management del sito assegnato, gestire il budget locale nel quadro finanziario definito e raggiungere gli obiettivi di risparmio concordati per l'account.
La persona sarà responsabile della gestione del sito di Pioltello assegnato al portfolio. L'IFM guida il business gestendo tutte le responsabilità funzionali e operative e contribuendo alla crescita strategica del business. Questo ruolo è fondamentale per la strategia del portfolio, lavorando in stretta collaborazione con il/la Sub-regional Lead e l'EMEA Ops Manager.
Il/La FM è parte integrante del supporto, della promozione e della fornitura di un elevato livello di soddisfazione del cliente, stabilendo e gestendo l'erogazione del servizio, realizzando iniziative chiave e garantendo coerenza nei processi, nei sistemi e nei report. Il ruolo garantisce inoltre un'operatività efficiente e coerente di tutte le attività di facility management per soddisfare gli obblighi contrattuali relativi al portfolio immobiliare del Cliente.

Responsabilità Principali:
Sviluppare, acquisire e implementare il Piano di Best Practice/Gestione Operativa dell'Edificio per il sito assegnato. Collaborare con il/la Financial Manager per preparare la documentazione/i piani di budget finali e amministrare i lavori per garantire la conformità al budget. Ispezionare strutture e attrezzature per determinare l'entità del servizio e delle attrezzature richieste. Raccomandare, giustificare, sviluppare e coordinare con il team del Cliente progetti che valorizzano gli edifici per uffici.
Organizzare la manutenzione, la conservazione o il ricondizionamento delle strutture come specificato nelle procedure operative, nel piano di gestione e/o nell'accordo sui servizi di gestione, e dei locali in leasing come indicato nell'accordo di locazione. In collaborazione con lo/la Specialista degli Approvvigionamenti, bandire gare competitive e preparare tutti i contratti di servizio per garantire servizi di alta qualità ed economicamente vantaggiosi. Raccogliere e analizzare le offerte contrattuali, presentare raccomandazioni.
Mantenere il ruolo di contatto principale per le richieste di servizio generate dal personale del cliente. Incontrare proattivamente il Management locale del Cliente su base programmata. Comunicare regolarmente con il Management e il personale del cliente, fornendo il supporto e le informazioni necessarie sullo stato di tutte le aree gestite.
Approvare gli acquisti di forniture e attrezzature per l'uso negli edifici per uffici gestiti. Stipulare contratti per servizi come descritto nel budget operativo, nel piano di gestione e/o nell'accordo sui servizi di gestione. Garantire che tutti i servizi definiti siano completati in conformità con tutte le procedure operative, i requisiti di legge e le linee guida su Salute e Sicurezza.
Essere proattivamente coinvolti/e nel garantire che i servizi siano rivisti e che vengano apportati miglioramenti per potenziare i servizi FM nel portfolio assegnato. Sviluppare uno stretto rapporto di lavoro con tutti i fornitori sotto controllo per garantire che comprendano pienamente la cultura del Cliente e si sentano parte del team che fornisce un servizio di alta qualità.
Risolvere problemi associati a tutti i servizi dell'edificio tra cui: pulizie, servizio ristorazione, servizi caffetteria, distributori automatici, badge, sale conferenze, postazioni di lavoro, nonché arredi interni, finiture e attrezzature. Effettuare sopralluoghi per eseguire ispezioni visive delle aree comuni e degli spazi del cliente per garantire che luci, pannelli del soffitto, impianti idraulici, ecc., siano tutti in condizioni di funzionamento e inviare ordini di lavoro ai fornitori per preventivi e programmazione. Sottoporre/segnalare le osservazioni secondo necessità.
Fornire indicazioni/informazioni a fornitori, personale delle facility e fornitori di servizi secondo necessità, garantendo un'eccellente coordinamento/esecuzione del lavoro nell'ambiente del cliente con interruzioni minime, secondo necessità. Garantire la Conformità alla Manutenzione Preventiva.
Soddisfazione del Cliente sugli Ordini di Lavoro: Monitorare la Soddisfazione complessiva del Cliente sulle richieste di servizio misurata dai risultati dei sondaggi di soddisfazione. Contattare direttamente tutti i clienti che hanno presentato risultati sfavorevoli per la risoluzione o per discussioni sulle lezioni apprese.

Ti Riconosci? Per Candidarti Devi Avere:
Esperienza comprovata nella gestione delle facility, in almeno due diversi siti cliente. Competenza tecnica nei servizi hard tra cui HVAC, sistemi elettrici, idraulici e di automazione degli edifici. Esperienza nella formazione tecnica e nello sviluppo delle competenze per team di ingegneria e manutenzione.
Competenze di Gestione del Cliente e delle Relazioni: Solide competenze di gestione per interagire a tutti i livelli con l'organizzazione del cliente, incluso il team interno JLL e le aziende partner. Forti competenze interpersonali con esperienza formativa per guidare team multifunzionali. Comprovata capacità di tradurre concetti tecnici complessi in programmi di formazione pratici per vari livelli di competenza.
Solide Competenze di Gestione del Budget.
Ottime competenze in inglese e nella lingua locale.
Eccellenti competenze informatiche, con padronanza di Microsoft Word ed Excel. Preferibili certificazioni tecniche pertinenti o qualifiche professionali in ingegneria dei servizi edilizi. Richieste eccellenti capacità organizzative.
